Terms and conditions for participants attending the ECCO 2019 European Cancer Summit, Brussels.

Definition

These terms & conditions apply to all individually registered participants attending the ECCO 2019 European Cancer Summit held in Brussels, Belgium 12-14 September 2019. All references to the age of a person, mentioned in this and other Summit documents, refer to the age of that person as of 12 September 2019. (the first day of the Summit), unless otherwise specified. All dates or deadlines, mentioned in this and other Summit documents, are on Central European Time (CET).

Eligibility

Individuals must be at least 18 years old to register for the Summit. Participants may be asked to present an official identity card mentioning their date of birth (e.g. passport, driving license etc.).

Only duly registered participants will have access to the Summit.

Pre-registration

Only fully completed online registrations will be accepted including any other required documentation. The registration will only be confirmed upon receipt of the full payment. If the full payment is not received by the corresponding deadline (early, regular or late rate), the subsequent rate will automatically apply.

Registration package (full fee)

The registration fee includes entry to all sessions, Welcome Reception, catering during the Summit. All Summit materials will be distributed onsite only.  

Access tickets to the Summit Networking Event on 13 September 2019 are exclusively available for Summit participants when registering online. The fee (EUR 35) includes transporting to and from the Summit venue to the Atomium as well as all food and beverage during the event. 

 

Methods of payment

Credit cards are the preferred method of payment (accepted credit cards are Eurocard/Mastercard, VISA or American Express). Payments can also be made by direct bank transfer without charges to the beneficiary. The name and registration number of the participant must be clearly stated on the bank transfer for easy traceability.

Cheques and bank drafts are NOT accepted.

Replacement

Any replacement (i.e. change of participant’s name) of a confirmed registration is subject to a 100 EUR administration fee per participant. Name changes are not allowed after 12 July 2019.

Cancellation & refund

All cancellations are subject to a 100 EUR administration fee per participant. The deadline to receive the cancellation request is by 12 July 2019. Cancellation requests received after this date are not refunded.

Letter of Invitation

Individuals requiring an official letter of Invitation from the ECCO 2019 European Cancer Summit organisers can generate one through their Summit registration online processing pages. To obtain a Letter of Invitation, participants must be registered for the Summit and payment must have been received in full.

The Letter of Invitation does not oblige the organisers in any way. All expenses incurred in relation to the Summit are the sole responsibility of the participant.

Onsite registration

Onsite registration is open from 12 September 2019.

Day rates will be available onsite at the advertised fee. Payment for onsite registration must be made by credit card (Mastercard, VISA or American Express) (EURO only).

Day registration

The day registration fee includes access to all sessions of the day.

Lost badge

The name badge must be worn at all times during the Summit. Access to the Summit venue will not be granted without a proper name badge. Should participants lose, misplace or forget their name badge, an administrative fee of EUR 100 EUR will be charged to reprint a new badge.

Cancellation of the Event

In the event that the ECCO 2019 European Cancer Summit is postponed or cancelled due to events beyond the control of the Organisers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the Organisers, the Organisers cannot be held liable by participants for any damages, costs, or losses incurred, such as transportation and accommodation costs, financial losses, and any other miscellaneous expenses.

Modification of the programme

The Organisers reserve the right to modify the programme at any time. All mention of the Summit programme is only an indication and is subject to change.

Data protection and sharing of contact details

The ECCO 2019 European Cancer Summit Secretariat will collect and store all personal data for the preparation and execution of the Summit. To manage / change the content of your ECCO account, please revisit your ECCO details, with your credentials through “Manage my account” .

Liability and Damage

The Organisers cannot be held responsible for any personal injury, loss, damage or accident to private property, or for additional expenses incurred as a result of delays or changes in air, rail, road or other services, strikes, illness, weather and other causes.

The Participant shall be responsible for any damage or loss caused by the act, default or negligence of the Participant or his/her guest and shall pay on demand the amount required to remedy any such damage.

The Participant must ensure that he/she or members of his/her party and anyone visiting them at the Summit behave in such a way that they do not cause a nuisance or unreasonable disruption to the event, other participants, Organiser or any other visitor of the Summit venue.

The Organiser does not accept liability for the below and the participant is to indemnify the Organiser against any claims arising from:

  1. Failure to provide any of the services contracted and reserve the right to alter or cancel any booking due to circumstances beyond its control, including but not limited to industrial action, postal communications, flooding, storm supply of gas electricity and water, fire alarm evacuation, or any act of God. If this happens, the Congress Organiser will use all commercially reasonable efforts to offer you alternative services.
  2. Accident, injury or damage to the participant, their guest’s contractors and agents, or their respective property due to their own actions, neglect or actions of others.
  3. The participant should make sure that they are fully insured against all losses or liabilities referred to in this clause. The Organiser reserves the right to refuse to accept any booking if the participant cannot provide proof that he/she has sufficient insurance to cover his/her liability under this clause.
